Online Workshop Information

All online workshops will take place via live Zoom video conference.

Registration:
When you purchase a ticket for an Avant Training online workshop, your name will be added to our attendee list. A few days before the workshop, we will email all attendees an invitation with the private Zoom video link, instructions for joining us online, and the speaker’s slides for reference. You are welcome to email us at admin@avant-training.com at any time with additional questions or concerns before or after you register. Please note that our standard cancellation policy applies to all online workshops.

Confidentiality:
Our workshops will take place in a password-protected Zoom meeting. To respect the confidentiality of all registered attendees, we ask that you view the workshop individually, in a closed environment, and that you not share the Zoom link with others. Anyone (colleague or friend) who wishes to access the workshop must purchase a separate registration.

Recording Policy:
Our online workshops will be recorded for use by registered attendees, including those who are unable to attend live. Attendees who participate with their camera engaged or utilize a profile image are consenting to have their video or image recorded. If you are unwilling to consent to have your profile or video image recorded, be sure to keep your camera off and do not use a profile image. Likewise, attendees who un-mute during the workshop and participate orally are consenting to have their voices recorded. If you are not willing to consent to have your voice recorded during the workshop, you will need to keep your mute button activated and communicate exclusively using the “chat” feature on Zoom.

Downloading Zoom:
You do not need a personal Zoom account to join our online workshops. However, you will need to download the Zoom application on your desktop or mobile device. It is important to do this before the workshop begins so that you can troubleshoot any potential issues and join us on time. You can do this in two ways:

  1. In your email invitation, click on the Zoom “Join Meeting” link. You will be automatically prompted to download Zoom if it is not already loaded on your device. The workshop won’t be open until our scheduled time and date, so don’t worry about clicking the link too early! You’ll just see a message that says “Please wait for the host to start this meeting,” and you can close out the application until it’s time for the workshop.
  2. Before you receive your email invitation, you can also download Zoom manually by following this link https://zoom.us/download and clicking on the download relevant to your device (usually “Zoom Client for Meetings” for desktops or “Zoom Mobile Apps” for mobile devices).

Joining the workshop:
We will begin our online workshops promptly at the scheduled time on the scheduled date, and we ask that you join us on time to receive attendance credit. Feel free to open Zoom and “join” the workshop in the 15 minutes before the scheduled start time (see instructions below). You’ll be in a “waiting room” and won’t be visible to everyone until the monitor lets you in, but this will help us start on time. Please plan to be available and online with a secure internet connection for the entirety of the workshop.

To join from the invitation email:

  1. Click “Join Meeting” link
  2. You will be prompted to enter a display name for the meeting. Please input the name that matches your registration information so that we can accurately record your attendance.
  3. Select if you would like to connect audio and/or video and click “Join”

To join from the Zoom app:

  1. Open Zoom
  2. Click “Join a Meeting”
  3. Enter the meeting ID number (provided in the invitation email) and your display name. Please input the name that matches your registration information so that we can accurately record your attendance.
  4. Select if you would like to connect audio and/or video and click “Join”

It helps our speaker immensely to have faces present (and we think seeing everyone really helps the sense of community when we’re unable to meet in-person!), so we prefer that you join us with video enabled, if you are able to do so safely and with limited distractions in the background. If you need to change locations, deal with personal matters, or get up from your seat briefly for any reason, please temporarily disable your video. In order to provide the best listening experience possible and respect your instructional time, we mute all participants by default upon entering the meeting. Feel free to eat or drink at your seat. You will have opportunities to speak up, ask questions, and interact with our speaker in a controlled manner throughout the workshop (see below for more information on this).

During the workshop:
During the workshop, you should see a view of the speaker, the speaker’s slides, and other participants in your video feed. At the bottom of the video feed are several icons, which include a microphone, a video camera, and a speech bubble. You can click on these to disable/enable audio (microphone) and video (video camera). Clicking on the speech bubble icon will open a windowpane to the right of your video feed where you can send private or public chats during the workshop. Choose the recipient of your message by using the dropdown button above the text window.

If you would like to make a comment or ask a question during the workshop, just unmute yourself at a suitable time and speak up. If you prefer to type your question, please use the chat feature on Zoom and make sure you select “To Everyone” for the recipient.

Should you have a technical question during the workshop, please use your chat window to send a private message to the user “Avant Training” (our monitor) with your question. If you get bumped off for any reason and can’t rejoin the workshop due to a technical issue, send us an email at admin@avant-training.com and we will try to help you get back online as soon as possible.

Breaks:
We will have one 15-minute break midway through our 3-hour online workshops. During the break, please disable your video and use this time to get up, stretch, move around, and take care of any personal needs. When the scheduled return time comes, please re-enable your video. For our full-day online workshops, we will have two 15-minute breaks and one 1-hour lunch break. If you need to turn off Zoom during one of the longer breaks, please plan to rejoin us online before the scheduled return time so that we can begin promptly.

After the workshop:
In the last 10 minutes of the workshop, we will email you a link to our evaluation form. Please complete this form and provide any honest commentary you wish as soon as possible after the workshop. We truly take this feedback to heart and will do our best to address any issues or improve our procedures before the next event. Soon after the workshop, you will also receive an email with a PDF of your CE certificate.
